QuickBooks 2005 PDF emailing

I know this isn't strictly speaking a question for Amyuni, but Quickbooks support have been pretty useless at helping us out.

We use QuickBooks and the Amyuni inbuilt PDF printer driver to create PDFs and email them. The problem we have is the speed of PDF creation. Everything has been optimised as far as possible in our Quickbooks data file.

We have recently upgraded the computer that we run Quickbooks on to a Intel Xeon 5160 CPU with 2GB quad channel fully buffered RAM. However, when we click on "email invoice" in Quickbooks it still takes 25-30 seconds to generate the PDF.

We desperately need to get this time down, and welcome any suggestions. We are quite happy to part with cash if needs be!

Hello,

To be able to help you with this we need to know how you are generating the pdf file, what are the options you are using in the generation and what is the processing that is being done to the file after its generation. So we can check where precisely time is being consumed and how to reduce it.

I suggest that you send me an mail with the above information so we can look at this more thoroughly.

As an example, this is the process I do:

1) Open up Outlook so it is already open
2) Go to quick report on a customer
3) Open their latest invoice that has already been saved
4) Click on email
5) Message pops up saying "Quickbooks is generating your email" (or similar
6) Quickbooks freezes and is non-responsive for 33 seconds
7) Outlook pops up a pre-written email with the PDF attachment

I have noticed during the process the CPU is normally just idling at 0% usage, although it has one or two spikes in its usage.

Any feedback you can give is greatly appreciated.

Hello,

What i suggest is that you download the latest version of the PDF Converter from our site www.amyuni.com and try to print to it from inside Quickbooks.

Mainly you will need to:
- Rename the printer installed by Quickbooks to a different name.
- Install the new version 2.51-b of the PDF Converter evaluation license to a new directory.
- Give the new printer the name of printer that is installed by Quickbooks
- Run your application.

Depending on which version of the PDF Converter was installed by Quickbooks the above procedure may work or not. If it worked this will enable you to check if the new version of the Converter will process the task in less than 33 seconds.

Hi Joan,

Thanks very much for the advice. I have run the test four times with QuickBooks trying to generate a PDF, and the results took:

Attempt 1: 36 seconds
Attempt 2: 33 seconds
Attempt 3: 43 seconds
Attempt 4: 36 seconds

I have tried to rename the QuickBooks printer, but I cannot see it in the "Printers and Faxes" section in Windows XP. Is it hidden in some way?

Hello,

While discussing in the forum i can't tell if the PDF Printer installed by QuickBooks is hidden or not. I am not sure how they install the PDF Printer.

What i can suggest is that you open a support issue with our technical support team and they will try to help you checking if the new version of the PDF Converter will produce better results than the version in QuickBooks, if it does than you can license the latest version and use it from inside QuickBooks, if it doesn't and if it is something important for you to get lower processing time, we can check if we can customize something for you.

I personally believe that the new version 2.51 of the PDF Converter should not require that much processing time.

Quickbooks installs Amyuni, then uninstalls it for EACH and EVERY invoice.

Check System Restore and you will see restore points being created each time.

This causes a huge waste of time and resources for the PC.

I have wondered whether installing a stand alone copy of Amyuni would prevent this, not tried it however.

Hello,

You may install the PDF Printer on the system and keep it there. You don't need to install it and unistall it everytime your print, in fact it is not recommended to install it and unistall it everytime you print.

Maybe older versions of Quickbooks used to install the printer for each print job, and new ones don't.
