Exports Tab

Use the options from the Exports tab to select different file formats for a source document such as XLSX (Microsoft Excel®), JPEG, RTF, TIFF, and DOCX (Microsoft Word®). Selecting an output format depends on the following:

 

 

To Select the Exports:

  1. Click the Exports tab.

  2. Select the following options:

 

Option

Function

Export to Excel Format

To export documents that are structured in (or contain) tables, such as invoices, into XLSX (Excel) format.

To Use:

  1. Select Export to Excel Format and click Options.
  2. The Excel Settings dialog box displays.

  3. From the Workbook type options, select one the following:
  • Single Sheet: To print the entire document on a single sheet.
  • Multiple: To print every page of the document as (separate) multiple sheets.
  1. From the Optimization Level list, select Table optimization.

 

Note: Table optimization ensures that the contents of the output file accurately reflect those of the source document at the line, paragraph,or table level.

Export to TIFF Format

To export documents that contain content such as diagrams, maps, images, or flowcharts into TIFF format.

To Use:

  1. Select Export to TIFF Format and click Options.
  2. The TIFF Settings dialog box displays.

  3. From the Output Preferences options, select the following:
  • Image Resolution: To set the total number of pixels of images (in dots per inch (DPI)).  A higher setting yields greater image detail (regardless of zoom magnification), but also increases file size.
  • •  Image Format: To set the JPEG color quality of images.  A higher setting yields color representation that most accurately resemble those of the source document, but also increases file size.

 

Note: Optimizing the document is not recommended when exporting to image formats, it slows down the export and the output might be less accurate.

Export to JPEG Format

To export documents that contain content such as diagrams, maps, images, or flowcharts into JPEG format.

To Use:

  1. Select Export to JPEG Format and click Options.
  2. The JPEG Settings dialog box displays.

  3. From the Output Preferences options, select the following:
  • Image Resolution: To set the total number of pixels in an image (in dots per inch (DPI)).  A higher setting yields greater image detail, but also increases file size.
  • Image Quality Level: To set the image quality of the output file.  A higher setting yields greater image detail, but also increases file size.

 

Note: Optimizing the document is not recommended when exporting to image formats, it slows down the export and the output might be less accurate.

Export to RTF Format

To export documents that contain text such as headings, sentences, and paragraphs into RTF format.

To Use:

  1. Select Export to RTF Format and click Options.
  2. The RTF Settings dialog box displays.
  3. From the Output Preferences options, select the following:
  • Advanced RTF: To output files in which text is positioned using absolute positioning, (i.e., text is enclosed within frames).  The text in this file has the closest resemblance to the source document but is not easily editable.
  • Full RTF + Graphics: To output files in which text is positioned without absolute positioning (i.e., without frames).  The text in this file can be edited more easily, but the visual accuracy of the file is sometimes compromised.
  • Formatted Text: To output a file in which pictures, images, vector graphics, etc.  are not exported, leaving only text.
  • Plain Text: To output files in which text contains no formatting.
  • An additional option enables you to separate the different text elements by either using tabs or spaces.

  1. From the Output Preferences options, select Line optimization.

 

Note: Line optimization ensures that the contents of the output file accurately reflects those of the source document at the text line level.

Export to HTML Format

To export documents that contain text such as headings, sentences, and paragraphs into HTML format.

To Use:

  1. Select Export to HTML Format and click Options.
  2. The HTML Settings dialog box displays.

  3. From the Output Preferences options select the following:
  • Multiple Layers: The document is exported to one HTML file.  Pages display one at a time and have navigation buttons    to move through the pages (layers).
  • Single HTML File: The entire document is exported as one HTML file.
  • Multiple HTML Files: Each page of the document is exported as a separate HTML file with links to navigate from page to another.  All files are linked and have navigation buttons  to move through the pages.

 

Note: The support for vector graphics in HTML is limited, so if this option is selected we create a background image for each page (if the page has complex vector graphics) and we render the vector graphics as part of that background.

Paragraph optimization is recommended.

Export to DOCX Format

To export documents to DOCX format.

To Use:

  1. Select Export to DOCX Format and click Options.
  2. The DOCX Settings dialog box displays.

  3. From the Header and Footers options select the following:
  • Header: Enable and specify height in mm of a header
  • Footer: Enable and specify height in mm of a footer
  • Resize margin: Value in mm to resize the top or bottom margins to number of pages after which to start auto discovery of header or footer content.
  1. From Font Embedding select the following:
  • Partial font embedding: To embed only portions of the font file that are used by the source document.
  • Embed standard fonts: To embed Arial and Times New Roman fonts.  These fonts are not embedded by default as they are provided with Acrobat® reader.
  • Embed licensed fonts: To embed fonts that require a license from their manufacturer.
  1. Select or clear the check box to remove any invisible object from the document.
  2. Select or clear the check box to use the system fonts rather than the embedded fonts.
  3. From the OCR options select the following:
  • Only for text objects: This is used when the text looks non-legible.
  • All page content: This includes text drawn with polygons
  • This function uses an external library which its path needs to be configured in the OCR Data Path and the language of the text

 

 

  1. Click OK.
